This Cancellation Policy outlines the terms and conditions regarding cancellations, modifications, and refunds for reservations at our property. We aim to provide fair and transparent policies that balance your needs with our business requirements.

Different reservation types and rate plans may have specific cancellation terms. The specific cancellation policy applicable to your reservation will be clearly communicated during the booking process and in your reservation confirmation.

2. Standard Rate Reservations

For reservations made at our standard rates:

To cancel a standard rate reservation, please contact our reservations department or cancel online through your confirmation email or our website.

3. Advance Purchase Rates

Advance Purchase rates offer discounted prices in exchange for stricter cancellation terms:

• Advance Purchase reservations are non-refundable and non-cancellable.
• The full amount is charged at the time of booking.
• No refunds will be provided for cancellations or modifications regardless of the notice period.
• In certain circumstances, at the sole discretion of management, the reservation may be modified for a different date within the next 12 months, subject to availability and potential rate differences.

We recommend Advance Purchase rates only when your travel plans are certain.

4. Group Reservations

Group reservations consist of five (5) or more rooms booked together. The following cancellation policies apply:

Individual room cancellations within a group booking:

• Up to 10% of the total room block may be cancelled without penalty up to 14 days before arrival.
• Additional room cancellations or cancellations within 14 days are subject to full charge.

For detailed terms regarding your specific group reservation, please refer to your group contract.

5. Special Event Periods

During designated special event periods (major holidays, conventions, and local events), the following enhanced cancellation policy applies to all reservation types:

Special event periods include but are not limited to:

• New Year's Eve (December 30 - January 2)
• Valentine's Day (February 13-15)
• Spring Break (varies by year, typically March)
• Major Conventions and Trade Shows
• Major Sporting Events
• Thanksgiving Weekend (Thursday-Sunday)
• Christmas Week (December 23-26)

You will be informed during the booking process if your stay coincides with a special event period.

6. No-Show Policy

If you fail to check in on your scheduled arrival date without prior notification ("no-show"):

• You will be charged for the first night of your stay plus applicable taxes and fees.
• The remainder of your reservation will be cancelled.
• For Advance Purchase or non-refundable rates, the full amount will be retained.
• During special event periods, the full stay will be charged regardless of reservation type.

If you anticipate a late arrival (after 6:00 PM), please notify the hotel in advance to hold your room.

7. Reservation Modifications

Requests to modify reservations are subject to the following conditions:

Date Changes

• Date changes are subject to availability at the time of the change request.
• If the new dates have a higher rate, you will be required to pay the difference.
• If the new dates have a lower rate, refund policies will apply based on the original booking type and the timing of the change request.
• Date changes for Advance Purchase rates are generally not permitted but may be considered on a case-by-case basis with potential change fees.

Room Type Changes

• Changes to room type are subject to availability.
• Upgrades will require payment of the rate difference.
• Downgrades may result in partial refunds, subject to the applicable cancellation policy timing.

Length of Stay Changes

• Reducing the length of stay is subject to the cancellation policy for the removed nights.
• Extending your stay is subject to availability and current rates for the additional nights.

8. Force Majeure

In case of force majeure events beyond the reasonable control of either party (including but not limited to natural disasters, acts of government, acts of terrorism, widespread health emergencies, or utility disruptions):

• Klunira Casino Hotel may waive cancellation penalties on a case-by-case basis.
• If the hotel is unable to honor your reservation due to such circumstances, we will provide a full refund or offer to reschedule your stay for a later date, based on your preference.
• If you are unable to travel due to government restrictions or verifiable emergency circumstances, we will work with you to reschedule or provide credit for a future stay.

Documentation may be required to verify force majeure circumstances affecting guest travel.

9. Refund Processing

When a refund is due according to our cancellation policy:

• Refunds will be processed to the original form of payment used for the reservation.
• Credit card refunds typically appear on your statement within 7-10 business days, depending on your card issuer's policies.
• For payments made by cash or check, refunds will be issued by check and mailed to the address on file.
• Processing fees, if any, are non-refundable.

A cancellation confirmation will be sent via email once your cancellation has been processed.
